How to prepare documents for a scholarship

A workflow to get PDFs and photos ready: format, weight, order, clear names and a final review. The rules of your scholarship decide.

Updated Aug 21, 2026

Preparing scholarship paperwork is a workflow, not a specific procedure: correct formats, accepted weight, readable files, clear names and a review before you send. The official rules beat any general advice.

General checklist

  • Formats: PDF for documents; JPG or another image format if they ask for an ID photo.
  • Size: the form sets the cap. Compress PDFs that go over.
  • Readability: the ID, stamps and signatures have to read. An illegible file is useless even if it is light.
  • Filenames: Scholarship-ID-Ana-Garcia.pdf is better than document1.pdf.
  • Merge or split: join only what the rules group; split if they want separate files.
  • Review: open each PDF and the photo on your device before you upload.

How the tools fit together

  1. Read the rules and make a listNote what they ask for (ID, income, enrolment, photo…) and in which format. This guide does not replace that list: each scholarship is different.
  2. Normalise format and weightPhotos to PDF if needed, ID into a single file, ID photo at the requested size, heavy PDFs compressed.
  3. Name, merge or split, and reviewUse clear names, join only what the rules allow you to join, and open each file before you upload.

Related guides in the same flow

The method is similar to preparing documents for a public exam, with the same caution: each call is its own world. For the ID, join front and back. For the photo, match size and weight. If you upload to a filing portal, lighten the filing PDF.

Quick answers

Frequently asked questions

Which documents does a scholarship ask for?

The ones the rules or the form of that call list. There is no universal list. This guide covers how to make them presentable, not what to attach.

Can I put everything in one PDF?

Only if the call allows it. Sometimes they want one file per document. When they let you group, merging PDFs saves uploads; when they do not, split.

What if the form rejects a file?

Check format and weight. If it is size, compress or follow the too-large PDF flow. If it is the photo, resize it to what the rules ask.
