The PDF is too large to upload

A diagnostic flow: measure the file, understand why it is heavy, compress, check the result and try again.

When a form will not let you upload the PDF, do not start by compressing blindly: confirm the weight, understand what inflates it, lighten the file, check the result and only then upload again.

The flow

  1. PDF too large (or the site rejects it).
  2. Check the file size and the field’s limit, if it is shown.
  3. Identify the cause: scan, photos, many joined files, or an already optimised PDF that will barely shrink.
  4. Compress.
  5. Check weight and readability.
  6. Try the upload again.

How to fix it step by step

  1. Check the real sizeSee how large the file is on your device and, if the form states it, note the maximum allowed.
  2. Identify the causeIs it a scan? Does it have high-resolution photos? Are there many loose PDFs? Pure text is rarely the problem.
  3. Compress and measure againRun the PDF through the compressor, open the result (it must still read) and check the new weight before you upload again.

Where to go depending on the case

If you do not want to wreck the document, start from how to reduce the size without losing quality. If the form asks for 2 MB, aim at that threshold. If you are facing a document manager, a campus or any upload field, shrink the PDF to upload it to a website.

Quick answers

Frequently asked questions

Is the rejection always about weight?

That is the most common cause, but format (it is not a PDF), the filename or a platform virus scan can also fail. If the weight is already under the limit and it still fails, look at those other causes.

What if after compressing it still will not go in?

Split the PDF if the procedure accepts several files, or rescan at 200–300 dpi. Repeating the same compression almost never gives a second large drop.

Do I lose quality?

Review the compressed PDF before you upload, especially signatures and stamps. The criterion is in the guide to reducing size without losing quality.
